The Women’s White Collar Defense Association (“WWCDA”) (“we”, “us” or “our”) is committed to protecting the security and privacy of your personal information. This Privacy Statement explains how WWCDA processes personal information and our other data protection practices when you visit our website or use our listserv (the “Site”), as well as when you become a member of a WWCDA chapter, or a member of our WWCDA Alumni Association. For the purposes of European data protection laws, WWCDA is the data controller of such personal information (i.e. the company responsible for, and which controls the processing of your personal information).

Personal Information We May Collect About You

Personal information collected may include your name, email addresses and other contact information, information about your career and any other information that you choose to provide to us, that you share with us or chapter members through our listserv or social media outlets, that is publicly available, or that is otherwise provided by WWCDA chapter members and alumni.

More specifically, we collect the following categories of personal information:

  • Internet or other electronic activity information: your device and browser type, your browsing and search history on our website, and information regarding your interaction with our website and our advertisements
  • Professional information: job title, information about your employer, and any other information that you choose to provide to us
  • Audio, visual information: recordings and/or photographs taken at events

To invite you to our events, and to send you marketing, networking or educational communications – this is necessary for our legitimate interests (i.e., to promote WWCDA).

To manage the organization and administration of WWCDA, WWCDA initiatives or WWCDA events, including alumni initiatives or events, to ensure our directories are accurate and up to date and to share attendee lists for events with other members / alumni; – this is necessary to pursue our legitimate interests (i.e., to maintain an updated member and corporate sponsor directory; to allow members to connect for networking purposes)

Audio, visual information: recordings and/or photographs taken at events

To take and publish recordings / photos of you at our events – this is necessary for our legitimate interests (i.e., to promote WWCDA)

To improve the Site by helping us understand who uses the Site - this is necessary to pursue our legitimate interests (i.e., to make your experience of our Site efficient and effective and to improve the same)

To ensure network and information security, including monitoring authorized users’ access to our Site for the purpose of preventing cyber-attacks, unauthorized use of our systems and Site, prevention or detection of crime and protection of your personal information – this is necessary pursue our legitimate interests (i.e., to ensure our Site is safe and secure and to ensure it is used in accordance with our Terms of Use)

To share your personal information with other WWCDA members (including members that are volunteer leaders, committee members and others supporting WWCDA) for any of the purposes identified above – this is necessary to pursue our legitimate interests (i.e., to manage the organization and administration of WWCDA)

Please note that you have a right to object to the processing of your personal information where that processing is carried out for our legitimate interests. Please note however that we may not be able to fulfil this request in all instances.

Where we need to collect the abovementioned categories of personal information by virtue of a legal obligation or in light of a contract entered or to be entered into with you (i.e., the Terms of Use), and you do not provide this personal information when requested, we may not be able to (i) comply with our legal obligations, (ii) provide you with a service, or (iii) perform the contract we have or are trying to enter into with you.

Retention Periods
We retain the categories of personal information we collect for the length of time necessary to provide our services and to comply with legal obligations or to protect our legal rights.  

Sources From Which We Collect Personal Information 
WWCDA collects personal information when you visit our Site, such as when you complete the contact form, when you apply to become a chapter member, when you sign up for our mailing list, or when you register to attend one of our events. We may also collect personal information from you offline, such as at a WWCDA event. WWCDA may also collect personal information from third parties such as WWCDA chapter members and alumni, or from publicly available sources such as, social media platforms and other publicly available directories.  

Sharing Your Personal Information

We share the following categories of personal information with third parties for a business purpose: personal identifiers, internet or other electronic activity information, professional information and audio, visual information.

We may share these categories of personal information to selected third parties that provide us with services, including companies that provide us with IT technical support and assistance in respect of the Site. All service providers are permitted to use personal information only for the purpose of performing services on our behalf in compliance with our privacy practices and policies. WWCDA local chapters in your country of residence may also have access to your personal information for the purposes set out in this Privacy Statement.  Additionally, we  share these categories of personal information with WWCDA sponsoring organizations and other WWCDA chapter members (including volunteers) or alumni, including through the sharing of event attendance lists and our Corporate Sponsor Directory.

Similarly, we may share your personal information as required or permitted by law to comply with a subpoena or similar legal process or government request, or when we believe in good faith that disclosure is legally required or otherwise necessary to protect our rights and property or the rights, property or safety of others, including to advisers, law enforcement agencies, judicial and regulatory authorities. We may also transfer your personal information to a third party in the event of a merger, reorganization of our entity or other restructuring.

We do not sell or otherwise market your personal information to third parties, nor do we disclose it to third parties other than our service providers and sponsoring organizations unless we are required to do so by law.

Data Transfers

Given the global nature of WWCDA and the fact that we are located in the United States, where you are located in the European Economic Area (the “EEA”)/UK, personal information collected from you, including via the Site, will be transferred to us and our service providers in the U.S. which is not considered by the European Commission or UK Government to provide an adequate level of data protection. Where WWCDA discloses personal information originating in the EEA/UK to a third party it will as necessary enter into a data transfer agreement (e.g., standard contractual clauses) with that third party. E-Mail Communications and Marketing

We will send you e-mail communications with information that may be useful to you, including information about WWCDA, WWCDA initiatives, WWCDA events, as well as marketing, networking or educational communications. You may unsubscribe at any time by emailing us at privacy@wwcda.org. If applicable law requires that we receive your consent before we send you certain types of marketing communications, we will only send you those types of communications after receiving your consent.  However, if you are a chapter member with an existing relationship with us, to ensure that you receive important information, you agree that we may send you non-marketing related information when necessary. We do not sell or otherwise market your personal information to third parties, nor do we disclose it to third parties other than our service providers and sponsoring organizations unless we are required to do so by law.


Your Rights

Individuals in the EEA/UK or other jurisdictions may have certain data subject rights, subject to certain limitations and/or restrictions. These rights may include: (i) the right to request access to and rectification or erasure of their personal information; (ii) the right to obtain restriction of processing or to object to processing of their personal information; and (iii) the right to ask for a copy of your personal information to be provided to you, or to a third party, in a digital format. Individuals in the EEA/UK also have the right to lodge a complaint about the processing of their personal information with a competent data protection authority.

For California residents, California's "Shine the Light" law, Civil Code section 1798.83, requires certain businesses to respond to requests from California customers asking about the business' practices related to disclosing personal information to third parties for the third parties' direct marketing purposes.  Alternately, businesses may have in place a policy not to disclose personal information of chapter members or others to third parties for the third parties' direct marketing purposes if the customer has exercised an option to opt out of such information sharing. Personal Information of Minors

Our products and website are not directed to minors under the age of 13.

Our Site may contain links to other websites. We are not responsible for the privacy practices or the content of other websites. This Privacy Statement applies only to the information collected by WWCDA. We encourage you to read the privacy statements of all of the destination websites which you visit.


Social Media Plugins

Our Site may use social media plugins to enable you to easily share information with others.  When you visit a website, the operator of the social plugin can place a cookie on your computer or device enabling that operator to recognize individuals who have previously visited that website.  If you are logged into a social media account while browsing our website, the social plugins allow that social media company to receive information about your use of our Site.  Social plugins also allow the social media company to share information about your activities when using our services with other users of their social media website.  For more information about plugins from other social media websites you should refer to those companies’ privacy policies.

Security and Retention
We use various methods to ensure the protection of your personal information against accidental or unlawful destruction, loss or alteration and against unauthorized disclosure or access. While these methods are considered to be effective, we do not guarantee the protection of your personal information as no data transmission over the Internet can be guaranteed to be completely confidential or 100% secure. You use our Site and provide all such personal information at your own risk. We retain personal information for as long as necessary to fulfil the purposes for which such personal information was collected or to comply with its legal obligations, resolve disputes or enforce agreements.  The criteria used to determine the retention periods include: (i) how long the personal information is needed to provide the services and operate the association; (ii) the type of personal information collected; and (iii) whether we are subject to a legal, contractual or similar obligation to retain the data (e.g., mandatory data retention laws, government orders to preserve data relevant to an investigation, or data that must be retained for the purposes of litigation or disputes).

How We Respond to Do Not Track Signals

Do Not Track is a privacy preference that users can set in certain web browsers. Please note that we do not respond to or honor Do-Not-Track signals.


Revisions to Our Privacy Statement

We evaluate our privacy policies and procedures to implement improvements and refinements from time to time. If we make any material changes to this Privacy Statement we will notify you by means of a prominent notice on the Site prior to the change becoming effective. We will also post an updated version on our Site. Please check back periodically for updates.
